How Does the Guided Risk Assessment Process Work?

Before You Start

  • The Xcursion Planner risk assessment process is a guided industry best practice process based on ISO31031 (Risk Management for Youth and School Trips) to support users who have a solid level of training and understanding of risk management and their duty of care when it comes to school excursions, camps, trips, tours and activities

  • This process supports you but it's not a process which at any point determines the level of risk for you. That remains your responsibility. It also cannot make safety decisions for you. What it does is guides you through what you should be considering, but you need to always contextualise and customise it for your own local jurisdiction and circumstances

  • Once you have a solid understanding of duty of care and risk management for school trips, you will find the process fast intuitive and the easiest platform to use when writing your risk assessments

The Why Behind the Process

  • This process is based on best practice and has specific reasons why each step is required to protect you and your students

  • There are 5 areas of a risk assessment: Transport, Activity, People, Environment & Equipment. By carefully considering each of these you will consistent cover the most foreseeable risks for your programs

  • Transport: How are you getting there and what are the considerations for walking, driving, public transport or any other means of getting your group from one point to the next

  • Activity Risks: What are the specific risks involved in the activity you're doing? Taking a group the zoo is vastly different from going to the local pool so each template guides you through this

  • People Risks: What are the specific medical, mental health and behavioural concerns for the group? What other considerations such as staff skills and capacity as well as safeguarding are in place?

  • Environmental Risks: These are all the risks associated with the environment you're operating in. Are you in a city? Are you in the wilderness? What sort of accomodation are you using? All extremely important considerations for safety

  • Equipment: What equipment are you taking with you to support good safety such as communications devices and first aid kits

The Steps

  • Choose the type of program, onsite, day trip, overnight or international

  • Complete the activity details (or select from an approved program)

  • Assess the transport risks by clicking on the relevant hazards which then pops up the suggested controls. Select all which are relevant to your specific program

  • Use the risk matrix to assess the level of risk for each of the subcategories by clicking on the specific risk rating box

  • Assess the activity risks by following the same process

  • Assess the people risks by following the same process

  • Assess the environmental risks by following the same process

  • Select & add the safety equipment you'll be taking with you

  • Review the program details and update or add any contact details

  • Submit for review or approval

Where Weather Data Comes In

  • Weather information is displayed based upon the location you select for your program. For example, onsite will provide weather at your campus. Selecting your destination location will display the weather there

Saving & Coming Back

  • You can save your risk assessment at any point and come back to it

What Happens When You're Finished

  • When you're finished, depending on your organisation's policy. the submission goes to a reviewer or an approver

  • A reviewer (such as a head of department) can provide feedback before it's submitted to a senior leader for approval

  • You will be notified of any revisions required by email

  • You will be notified once approved by email

  • Download or print your PDF out the day of or before your activity for the latest weather
